Admissions & Enrolment CRMTurn enquiries into enrolments

Capture enquiries, track applications and convert enrolments with a pipeline built for education — from the first phone call to a taken seat, without a paper form in between.

Why Admissions

Turn enquiries into enrolmentsEvery enquiry in one pipeline — answered while the family is still deciding.

Filled in once

The application a family fills in becomes the student record on enrolment day, with no name copied again.

Answered while deciding

A family that hears back the same afternoon is still considering you when the other letter arrives.

The list stays

When a counsellor leaves, the enquiries leave with their notebook; here the list belongs to the office.

Every seat explainable

Months later you can show a parent exactly how a merit list ran and where their child stood.

Today

An enquiry arrives as a phone call, a form at a fair, a message on WhatsApp — and each lands in a different notebook. Families wait to hear back, forms wait on desks, and by the time the office replies, the family has chosen somewhere that answered first.

What we did about it

One pipeline for every enquiry, wherever it arrives. Applications come in online with the documents attached, the office can see exactly where each family stands, and an offer goes out with the fee link in the same message.

Inside Admissions

From the first callto the taken seat

Every enquiry, one list

Website, fair, phone call or WhatsApp — each lands in the same pipeline, none in a notebook.

Documents, checked calmly

Uploaded once, reviewed on screen, and chased automatically when something is missing.

The offer with the fee link in it

Accepted today, paid today, enrolled today.

Where families pause

See where applications stall, and fix the step instead of blaming the season.

The visit

Open days and campus tours booked like a table — reminders included.

Seats, settled fairly

Quotas, merit lists and allotments kept in the open, on the record.

A form per programme

Each intake asks its own questions and its own documents, arranged by the office before applications open.

The family you already know

A sibling already on the roll, or last season's applicant, shown on the enquiry before anyone calls back.

What changes

Who stops waiting to hear back

A family hears back while they are still deciding. The office spends its time talking to people instead of hunting for their forms. And enrolment day becomes the record’s beginning, not a stack of paper to re-type.

Admissions officers

Every family visible — nothing lost between the fair and the follow-up.

Applicants & families

Apply from home, see where you stand, pay when you accept.

Institutional directors

A season you can steer while it is still happening.

A day with it

One family, from enquiry to enrolment

Everything is written once, at the desk where it happens, and read everywhere it is needed afterwards.

01

The enquiry

A family shows interest — and lands in the pipeline, not a notebook.

02

The application

Filled in from home, documents attached, progress visible to both sides.

03

The decision

Reviewed on the record, with nothing waiting in a drawer.

04

The enrolment

Offer accepted, fee paid, and the student record begins — already complete.

Controls

Every seat given, answerable months later

Admissions is the season families question afterwards, so who saw a file, who signed an offer and how a list ran stay recorded.

Who sees which families

A counsellor sees the families in their own hands, a programme's review panel sees only its applicants, the head sees the season.

Who moved the file

Each stage an application passes, and each certificate marked verified, carries the name of the person who did it and the day.

A family's circumstances

Income declarations, category papers and a counsellor's note on a family sit with the people deciding, not with everyone answering the phone.

The offer that is signed

No offer letter goes out, and no seat is given out of turn, until the person entitled to allow it has said so.

The office keeps the list

The enquiry list belongs to the institution, not to a counsellor's notebook, and the whole season comes out when you ask for it.

The fair desk keeps working

At a fair or a counter with a queue, enquiries and forms still go in, and join the pipeline when the line returns.

Works with

One record,not one more system

Admissions can be adopted on its own. It is worth more beside the rest, because a record entered once is known to all of them — nobody types the same student in twice.

Questions & Answers

Before the next admission season opens

Can we start with an admission season already under way?

Yes. The enquiries and part-filled applications you are already holding come in as a list and keep the stage each had reached, so nobody restarts a conversation a family has already had. The forms sitting on desks are entered once; after that no name is copied again.

Do families have to apply online themselves?

No. A family that would rather come in still comes in, and the office fills the form in with them at the counter — on screen rather than on a pad. What changes is where the form goes afterwards, not who is welcome to walk through the door.

Does it decide who gets a seat?

No. Quotas, cut-offs and the order of a merit list are yours to set, and it only runs the rule you wrote. A committee can still overrule a list, and that decision is kept on the record with the rest — so months later you can show a parent how the list ran and where their child stood.

Do we still verify original certificates ourselves?

Yes, and that part stays with your desk. What is uploaded is read on screen and chased when something is missing, so a family arrives with the right papers in hand, and the person who saw the originals is noted against the file. The judgement is still made by someone who knows what they are looking at.
