Today
A graduate needs a transcript and comes back to campus for it. A clerk finds the volume, copies the marks by hand, and someone senior signs it. An employer writes to verify a degree, and the letter waits in a tray. Years later a duplicate is needed, and the whole thing is done again from the same ageing register.
What we did about it
We made the document a view of the record rather than a copy of it. A transcript is generated from the marks that were tabulated, a degree from the award that was conferred — and each one carries proof anybody can check without asking the office.

Controls
Who may sign it, and who may look behind it
A document leaving this office carries somebody's name and the institution's word, so it matters who prepares it, who signs it and who may read it.

A counter clerk can prepare a transcript; only the officer entitled to issue signs it, and a department sees its own programmes.

What a verifier sees

What a registrar asks before the first issue
What about certificates we have already issued?
A document printed years ago carries nothing on it to check, and that does not change. Past awards can be entered into the archive so a duplicate or a verification reply is drawn from the record rather than the volume. Until that is done, older enquiries are answered the way you answer them now.
Does the registrar still sign every document?
Yes, and the approval route stays yours to set — who checks it, who countersigns, who issues. What changes is that the signing officer is reading a document generated from the award itself, rather than one retyped from a register and waiting to be compared against it.
Does an employer need an account to verify?
No. Whoever is shown the document can check it, without registering for anything and without writing to you. Your office is not asked to confirm it, which is the point — the tray of verification letters is the part that goes away.
Can we start mid-session with a convocation already coming?
Yes. Issuance can begin with the batch in front of you, degrees drawn from the awards as they are conferred, and everything issued from that point is checkable by whoever holds it. Earlier batches enter the archive when the office has time for them, not before.
