Research & GrantsThe work a university is finally able to show

Sanctioned projects, grant utilisation, research scholars and published output held as one record, so a university can account for the money, supervise the scholar and show the work when it is asked to.

Why Research

The work a university is finally able to showProjects, funding, scholars and output — the research record a university can actually produce.

Spending seen while live

Spending sits against the sanctioned head as it happens, so an overrun is visible long before the certificate.

Progress outlives memory

A scholar's milestones and reviews sit on a record, so supervision survives a guide's transfer, sabbatical or retirement.

Research the university owns

Projects, spending and published output belong to the university that funded them, not to a departing investigator's own files.

Nobody emails every department

When a funder or an inspection asks what the university researches, the answer is already assembled.

Today

Research lives in the drawers of the people doing it. A sanctioned project is tracked in a personal spreadsheet, utilisation is reconstructed the week a certificate is due, and a scholar’s progress is whatever their supervisor remembers. When the university is asked what research it does, somebody emails every department and waits.

What we did about it

We gave the research office the same kind of record the examination cell has. Projects, sanctions, spending, scholars, milestones and output in one place — so utilisation is a reading rather than a reconstruction, and supervision leaves a trail.

Inside Research

From the sanction letterto the published paper

Projects and sanctions

Proposal, sanction and duration held against the investigator.

Grant utilisation

Spending against heads, read at any moment — not at the deadline.

Scholars and supervision

Registration, milestones and reviews kept as they happen.

Publications and output

What the work produced, held by the institution that funded it.

Ethics and approvals

Clearances recorded against the project they belong to.

The research picture

What is running, what it cost, and what came of it.

Reports the funder is owed

Progress reports, extensions and closure dates held against the project, so a deadline is seen coming.

People paid from the grant

Fellows and project staff appointed on a sanction, their appointment ending where the funding ends.

What changes

The office, the guide, and the scholar

The money can be accounted for while it is being spent. A scholar’s progress is visible to more than one person. And when the institution has to show its research, it already knows what it is.

Research offices & deans

Projects and spending visible while they are live.

Principal investigators

Utilisation and reporting drawn from the record, not rebuilt.

Research scholars

Milestones, reviews and supervision on a record they can see.

A day with it

A project from award to the last report

Everything is written once, at the desk where it happens, and read everywhere it is needed afterwards.

01

The project is sanctioned

Proposal and award recorded against the investigator and the head.

02

The grant is spent

Utilisation posted as it happens, against the sanctioned heads.

03

The scholar progresses

Milestones and reviews recorded, not remembered.

04

The work is shown

Output and utilisation produced from the record on request.

Controls

Public money, a scholar's file and who may open either

A grant answers to a funder and a scholar's file answers to nobody else — the university sets both lines, once.

Who sees which project

An investigator sees their own sanction and its spending; a dean the department's projects; a scholar their own registration.

Who posted what, when

A utilisation entry, a milestone marked, a head amended — each carries the hand that made it and the hour.

The deliberation kept apart

A supervisor's working remarks and a committee's view on a thesis sit behind their own door, not the general one.

Approvals on the project

Ethics clearance, a re-appropriation between heads, an extension — approved by whoever may approve it, recorded against the project.

The research is yours

Sanctions, utilisation postings and publication lists belong to the university that funded them, and can be taken out whole.

When the line drops

A field visit, or a laboratory the line does not reach: the entry holds, and joins the record when it returns.

Works with

One record,not one more system

Research can be adopted on its own. It is worth more beside the rest, because a record entered once is known to all of them — nobody types the same student in twice.

Questions & Answers

What a research office asks before it moves

We have sanctioned projects already running — where do they start?

A project joins at its current position: the sanction, its heads, the remaining duration and the spending already incurred, entered once as an opening figure. Past vouchers stay in the file where they are — nothing is re-keyed backwards. From that point utilisation is posted as it happens, so the next certificate is read rather than rebuilt.

Who posts the spending — accounts or the investigator?

Either, and it is set per project. Most universities have accounts post the bills and the research office reconcile them against the sanctioned heads, with the investigator reading rather than typing; where a department runs its own spending, the investigator posts and the office approves. What stops happening is the office asking an investigator to reconstruct a year of expenditure the week a certificate is due.

Do publications have to be entered by hand?

Yes — somebody confirms an output against the project and the author. Nothing is gathered on its own, and we would rather say so than claim a list assembles itself. Once it is entered it stays attached to the project that funded it, so a department compiles its list once instead of again at every deadline.

Can a scholar see what their supervisor has recorded?

A scholar sees their own registration, milestones, review dates and what has been submitted — the things they are otherwise chasing a guide to confirm. Committee deliberation and a supervisor's working remarks sit apart, shown only to those entitled to them. Where that line falls is the university's decision, set once.
