A boarding school is a school and a home wearing one name. The office keeps a pupil — admission, attendance, marks, fees — and the house keeps a boarder — the bed, the night roll, the leave slip, the dose given before lights out — and the same child is written into both, separately, every day of term. We joined the two halves, because the questions this kind of school is asked are rarely academic ones. A parent ringing in the evening, or an inspector asking who was in the building on a particular night, should meet one record rather than a shelf of registers and somebody’s memory.

What boarding schools get on day one
Nothing here is an empty module waiting to be assembled. The apps arrive wired to one another and shaped around how boarding schools actually keep their records, so a fact entered once is the same fact everywhere it is needed afterwards.

When a parent's number changes or a boarder moves dormitory, it is altered once, not in every book that copied it at admission.

A boarding school is trusted with the hours nobody else sees — the evening, the night, the weekend a child does not go home. The house writes those hours down carefully, in books the school office never opens, and the office writes the same child down again in books the house never opens. Nothing is actually missing. It is that no one place holds enough of it to answer the parent who rings, or the housemaster standing on a landing counting heads.
The house and the office keep separate children
The class teacher marks a boy present at assembly, the housemaster marks him in at night, and neither entry can be seen from the other side of the campus. The pattern that would have shown something was wrong — the infirmary again, prep missed all term, a fee that quietly stopped — is split between books that nobody reads together.
Leave depends on the adult at the gate
A child goes out for an exeat with an uncle named on a form filled in at admission, and the gate keeps its own book of who left with whom. Whether the parent approved it this time, and when he is due back, sit in different places, and they are only ever assembled after somebody fails to return.
The medicine round leaves no trail
A dose is given before lights out and written in the infirmary book; the allergy that matters was written on an admission form; the counsellor keeps her own file. The housemaster deciding whether a child should travel home for a wedding is reading none of them.
The term bill is added up by hand
Boarding, mess, laundry, the trip he went on and the pocket money drawn at the house safe are each written in a different place, and somebody totals them at the end of term. When a parent queries a line — he was at home then, he never went on that trip — the working has to be rebuilt out of the books rather than read off an account.

The morning roll is marked on the landing where it happens, and it is the same attendance the school office reads at assembly. Nobody carries a list downstairs to be typed in again.

A boy reported sick before breakfast; the visit, the dose and the follow-up are entered by the person who gave them. His housemaster sees that he is off games and due back tomorrow, and the file behind that stays where it was.

An exeat is approved
A parent approves the weekend from wherever they are, and the adult collecting is the one already named on the child’s record rather than a name written at the gate. The gate, the house and the mess all know before the car arrives.

Each floor is marked where the beds are, so a missing boarder surfaces as a name rather than as a count that will not come right. An empty bed raises its question at the moment it is noticed, not at breakfast.

Questions boarding schools ask us
Who can see a boarder’s infirmary or counselling record?
You decide, and the record keeps who looked. What is different in a boarding school is that the person who has to act at night is not a teacher — a housemaster or a matron can be given only the part they must act on, a dose due, a child not to be left alone this week, without the record behind it. Where we cannot help you is drawing those lines: a school that gives every house login everything will get exactly that, and children tell each other what is written about them. Start narrow and widen it when somebody is genuinely blocked.
Does this replace our house registers and the gate book?
Not unless you want it to, and plenty of houses will keep both for a while yet. The night roll and the gate movement are worth having on the record because they are what somebody asks about afterwards; the housemaster’s own notebook, holding the things he is still thinking about, is not something software should ask for. What we would say is that once the roll is being marked on the landing, keeping the paper one as well is exactly the copying we set out to remove — retire it when nobody is reaching for it.
We are inspected and re-registered. Will this file that for us?
No. Registration, renewal and whatever your board or the state asks for are still applications your head makes and signs, on somebody else’s form and to somebody else’s timetable. What changes is where the answers come from — staff and their verification, the roll for a night somebody asks about, the health checks, the safety walk that was done and what it found are written down as they happen, in one place. Preparing the file becomes a question you ask your own records rather than a scramble round the houses for things everyone already wrote down once.
Parents ring the housemaster’s mobile every evening. Does that stop?
Some of it should not stop, and we would not try to end it — a parent who is worried wants a person, not a screen. What can go is the calls that are only asking for a fact the school already holds: that he arrived, that he ate, that the fever broke, that leave was approved. When those reach the family without being asked for, the calls that remain are the ones actually worth a housemaster’s evening. And the answer he gives that evening is written where the next person to be asked can read it.
