Questions from the HR office before the first payroll run
Can we start mid-year, with leave balances already carried?
Yes. Leave balances, pay scales and what each person has earned so far this year are entered as they stand on the day you begin, and the first run works from there rather than from zero. The returns you have already filed stay filed — nothing goes back and redoes the months behind you.
Will payroll follow our own pay scales and allowances?
Pay heads, allowances, deductions and the scales behind them are set up to read the way your own rules read, including the ones that apply to only a handful of people. Genuinely one-off items — an honorarium agreed in a meeting, arrears from a revision — are still entered by a person, and stay on the record once they are.
Who actually has to change how they work?
Whoever approves leave now approves it on a phone, instead of signing a form that walks the corridor. Whoever marks attendance keeps marking it — the change is that nobody copies it into a salary sheet afterwards. Everyone else sees their own balance and payslip, and largely stops asking the office for them.
What happens when a payslip goes out wrong?
You correct it. The correction is entered against that person and carried into the next run as an adjustment, and both the original payslip and the correction stay on the record, so the sequence is readable long afterwards. Deciding what the right figure was remains a judgement HR makes — what changes is that the decision is not lost.
