Who may open a child's record

One record read by every desk only works if each desk sees the part of a child's file that is its own.

Your section, your register

A class teacher marks their own section, a head of department sees their programme, and the office holds the whole roll.

Who changed that mark

A grade corrected after the report card, or attendance amended a week later, keeps the earlier entry and a name beside it.

Not on the class list

A medical note or a difficulty at home stays with the people who need it, and never opens with the roster.

Signed where it happened

A backdated attendance, a revised grade or a leaving certificate carries the approval it needed, recorded at the moment it was given.

The roll is yours

Student records, registers and transcripts belong to the institution, and can be taken out whole and readable whenever you want them.

Before the registers are put away

We are already mid-term. Can we start now?

Yes. The usual way in is the student list and tomorrow's attendance; marks already awarded this term are entered before the first report card is due. The weeks before that can stay in the register they were kept in — nothing has to be back-filled to the first day of the year for the term to add up.

Do teachers still keep the paper attendance register?

That is your call, and keeping both for a term while people find their feet is reasonable. Whichever one is marked here is the one the report card and the family window read, so the paper copy becomes a duplicate rather than the source. If a signed physical register is required of you, print it from the record at the end of the month instead of writing it out twice.

What happens to the years of records we already hold?

Past students can be brought in as records, so an old transcript or certificate is issued from the system rather than hunted for in a storeroom. You decide how far back that goes — usually the years still likely to be asked for. The old registers stay where they are; nothing is discarded to make room.

Not every parent has a smartphone. What then?

The family window is offered to the families who want it, never a condition placed on the rest. For everyone else the office prints the report card and sends the notice the way it always has, and the record behind both is the same one. No child's information depends on the family owning a phone.
