A plan written for one child,and read by everyone who works with them

A special school, or an inclusive unit inside an ordinary one, writes more down about each child than any other kind of institution, and almost none of it is a mark. A goal and the plan it belongs to, a session and what the therapist noticed in it, a medicine and the morning it was needed, the certificate an entitlement rests on — each is written carefully, and each in a different room, by people who are rarely in the same one at the same time. We put them on one record of the child, open to the people who must act on them and closed to everyone else. What changes is not how carefully anyone writes; it is that the classroom, the therapy room and the office stop each reading only their own account of the child.

Nothing in this kind of school is written carelessly. Everything about a child is written down by somebody who was paying attention — and then written down again, in another room, by the next person paying attention. So the account that would actually tell you whether a term is working is the one account nobody holds, and it is usually the family who end up carrying it from room to room.

Every room keeps its own account of the child

The class teacher keeps the register and a note about how the morning went. The special educator keeps the plan. The therapist keeps her session notes in the therapy room, and the psychologist keeps a file that does not leave her cupboard. Each of them is careful, and the parent has told the whole of it to every one of them in turn. What nobody holds is all of it read together, which is the only place the answer to whether this term is working was ever going to be.

The plan is a document, not a day

An individualised plan is drafted, agreed in a meeting, signed and filed — and then the term happens somewhere else entirely. The assistant covering the class on Monday is working from what she remembers being told. The goals are looked at again when the review falls due rather than when something changed, and by then they describe a child who has moved on from them.

A session that did not happen leaves nothing behind

The therapist is away, the room is wanted for something else, the child is unwell, the slot is quietly given to somebody who needs it more that week. Every one of those is reasonable on the day. But nothing counts them, so what a child actually received this term has to be worked out backwards from diaries — usually because a parent has asked, and usually in the meeting where you least want to be working it out.

Every entitlement asks for the same papers again

A concession for a board examination, a scheme, a place, a renewal, a transfer — each one wants the certificate, the assessment behind it and a recommendation the school itself has to write, and each is put together by going round the same rooms asking the same people. The certificate has a date on it nobody was watching, the assessment is in a folder in a cupboard, and the window to submit is short and does not move for you.

How it runs

A day in which the plan, the session and the classroom are no longer written apart.

    The register is marked where the group is

    A teacher or an assistant marks the group at the door, and that is the attendance the office reads. The therapist due to see one of them later that morning can see he is not in today, so the slot goes to a child who is here rather than standing empty and being written off as given.

    The lesson is the plan

    The teacher opens the goals this child is working on and records what actually happened against them — what he managed, what he needed, what to try differently — rather than a mark against a syllabus he is not following. It is entered in the room, and it is the same record the review will open on.

    The session is written down in the room it happened in

    The therapist records what was worked on, how the child was, and the thing she wants tried in class this week. The class teacher sees that last part, because she is the one who has to act on it. The working notes behind it stay where they were written.

    The family hears the day, not a summary of it

    What goes home was recorded during the day, so a parent reads what was worked on instead of a line written at the gate. And what they see that evening — a word used for the first time, a bad night, something that helped — goes on to the same record, rather than being mentioned in passing at a meeting months later.

    The meeting opens on what was recorded

    When the plan is reviewed, the term is already in front of the room — sessions given and missed, goals worked on, the notes from the classroom and from home — so the time goes on deciding rather than on remembering. The plan that comes out of it is the one the classroom reads on Monday, and when a form has to be filled afterwards, the papers it asks for are already on the child's record with the dates they carry.

Who can see a child's therapy notes and psychology file?

You decide, and the record keeps who looked. Putting these on one record is not the same as everyone reading everything: a class teacher can be given the part she must act on this week without the assessment behind it, and a therapist can keep her working notes to herself. Where we cannot help you is drawing those lines. A school that gives every login everything will get exactly that, and children work out quickly what is written about them and who has read it. Start narrow, widen when somebody is genuinely blocked, and take it as given that the family are entitled to know what is held.

Will this apply for our students' examination concessions?

No. The board's portal is the board's, the window it opens is short and does not move, and somebody from your office still logs in and uploads inside it — we claim no line into anyone's system. What changes is everything before that. The certificate, the assessment behind it, one spelling of a name and the school's own recommendation are already on each child's record with the dates they carry, so the office fills forms instead of first going round the rooms collecting the papers. You also find out whose file is short while there is still time to do something about it.

We are an ordinary school with a resource room, not a special school. Does this fit?

Yes, and it is the harder of the two to hold together. A child is on the class roll and on the resource room's list, and today those meet only when somebody walks between them — here they are one record, so what has been agreed for him is in front of the teacher taking the lesson rather than filed in another room. What it does not do is any of the judgement. It will not identify a child, will not assess one and will not write a goal. Those belong to your team and to the professionals you bring in, and software has no business near them.

Our special educators and therapists must keep their registration current. Does this watch that?

It holds it, with the date it runs to, on the same staff record as the appointment, the timetable and the children they carry — so it says something before it lapses instead of surfacing while an inspector is in the building. What it cannot do is renew anything. The registration is the professional's own, held with their council, and the continuing education behind it is theirs to earn and yours to release them for. Nor are we the judge of who is qualified for what: you record what you have verified, and you keep the certificate you verified it against.
