Today

What we did about it

We continued the record instead of ending it. The academic file becomes a graduate file at convocation, and the institution keeps a relationship it can actually reach — by cohort, by chapter, by where people ended up.

Controls

A register graduates trust with their address and their name

A graduate gives you a home address, an employer, sometimes a gift. These are the terms on which each is kept.

Who sees which graduates

A chapter secretary in one city sees their own chapter; the whole register stays with the alumni office.

Who corrected the address

Every change to a graduate's contact or employer carries the person who made it — the office, or the graduate themselves.

What a graduate gave

A pledge and its amount sit with advancement, not on the guest list a reunion volunteer is working from.

Nothing goes out unsigned

A degree verification answered to an employer, or a letter to the whole register, is approved before it leaves the office.

What advancement offices ask before the first batch is imported

What happens to the graduates we already keep in spreadsheets?

They come in as they are, incomplete rows and all. Where a graduate still exists in your academic records the two are matched, and the rest sit as graduate records the office corrects as people surface. An address that was never written down stays missing — the register will not invent one for you.

Does the graduate record need your student records to work?

It continues from the student record when you keep that record with us: at convocation the file carries across and nobody is entered twice. If your academic records live elsewhere the module still works on its own, but each passing-out batch arrives as an import your office hands over once a year.

Does this replace how our finance office receipts a donation?

No. The register records the pledge, its purpose and that a receipt was issued, so the office can see who gave and towards what. Issuing the receipt and reconciling it in the books stays with your finance office exactly as it is done now.

We are already planning this year's reunion — do we restart?

Nothing needs to stop. The list you have already built goes in as a guest list, invitations go out against the register, and who replied and who came is recorded against the graduate instead of ending with the event. The chatter can stay in whichever group it already lives in.
