A school writes more down in a week than anyone can read in a year — the register, the mark, the fee receipt, the medical note, the bus seat. We followed where all of it goes, and rebuilt it as one record, written once at the desk where it happens and read by everyone who needs it.

What changes

What schools get on day one

Nothing here is an empty module waiting to be assembled. The apps arrive wired to one another and shaped around how schools actually keep their records, so a fact entered once is the same fact everywhere it is needed afterwards.

A new session, no re-listing

When the session turns over, the section list, the bus seat, the fee head and the file follow the same child up a class.

A free period stays free

No register is fair-copied into the office book after school, so a class teacher's spare period can go to the child who has gone quiet.

Patterns you can still act on

Which children keep missing the same day of the week, and which sections thinned after the holidays — patterns a school could previously only see afterwards.

The same answer at every door

A parent asking about a due fee, a mark or the bus stop gets the same answer from the gate, the class teacher and the office.

Every list hears the change

A change of section, a new bus stop, a child who has left: the register, the bus list and the fee book learn it together.

What the year already wrote

When an inspector or the board asks for the year — admissions, attendance, receipts, staff papers — the school opens what it already wrote; somebody still signs it.

What we keep finding

Where the recordbreaks

Very little of a school’s paperwork is work. It is the same fact — a child was present, a fee was paid, a mark was given — written down a second time in a different book, and a school that writes everything twice can act on none of it in time.

The register is written twice

Marked on a sheet in the classroom, carried to the office, typed in again days later. The family who should have heard by nine hears at the weekend, if the diary makes it home.

A child’s year sits in four books

Attendance in one, marks in another, fees in a third, conduct in a diary. The pattern a teacher could have acted on in the first month is only legible once the year is over.

Fees are reconciled by hand

Cash at the counter, a cheque, a transfer that arrives with no name attached — all matched against a ledger at month end by whoever is least able to refuse.

The bus is a phone call

Where it is, whether a child boarded, who is on it today. It lives in somebody’s head, and a head is not a record anyone else can read.

The sick room keeps its own paper

A child is sent to the sick room at eleven, and the note is written in a register that lives in that room. The class teacher marks her absent for the afternoon, the office rings home, the bus runs to a list made at eight — and the one thing worth knowing, that this is the third week running, is in none of those places.

Every certificate is copied out again

A leaving certificate, a bonafide letter for a scholarship form, a duplicate for a family who lost theirs — each one means opening an old admission register and writing the same details on to a printed form, while the parent waits or comes back on Thursday. The school then files a copy of the copy, because when somebody asks years later whether the document is genuine, that shelf is the only answer it has.

Your own database

Provisioned per institution. Your records are never in a shared table with anyone else’s — an architectural fact, not a policy.

Before you ask

Questions schools ask us

Who can see a child's medical or counselling note?

Only the people you decide, and the record keeps who looked. A class teacher can be given the part they must act on — an allergy, a medicine not to be given, a child to watch this week — without being given the counselling record behind it. The school draws those lines itself, which also means a school that gives every login everything will get exactly that. Draw them narrowly and widen them when somebody is genuinely blocked.

Does this stop us typing students into the government portal?

No, and we would rather say so plainly. That portal wants its entry made on its own screens, by a person, to its own timetable, and that work stays yours. What changes is where that person copies from: one record with one spelling of a name, one date of birth and one parent's name, instead of three books that disagree — which is usually the real reason an entry fails and has to be chased back through all of them.

Can you produce our transfer certificate the way we issue it?

Yes. It is your template, your wording, your serial and your signature block, filled from the admission record rather than copied out of it, with the counterfoil kept so the document can be checked when somebody asks about it in ten years. What we do not do is submit it anywhere on your behalf; where a board or a department wants a leaving recorded on its own site, or countersigned at an office, that step is still yours. The family still walks out with a signed paper, because that is what the next school will ask for.

We already have trackers in our buses. Does this replace them?

No. We do not sell hardware and we would not ask you to pull out a device that works. What Shippra holds is the part that is usually nobody's file — the route, the stop, the children assigned to each seat, who boarded this morning, who was signed off at the gate with a parent, and which driver and attendant were on the vehicle that day — so the transport fee, the seat and the child stop being three separate records. Whether a particular tracker's feed can also be shown on that screen depends on the device, so ask us about the one you have rather than assume either way.
