The workshop is the classroom,and the record should start there

A polytechnic or an ITI teaches in two places at once — an hour in the theory room, then a shift at the bench — and only one of those places has ever been easy to write down. We followed the other one: the section that rotated, the job that was signed off, the material it took, the machine it was made on. All of it becomes the same record the examination form, the inspection file and the firm ringing for a fitter are drawn from later. The workshop stops being the part of the institute that nobody can account for.

What changes

What polytechnics and ITIs get on day one

Nothing here is an empty module waiting to be assembled. The apps arrive wired to one another and shaped around how polytechnics and ITIs actually keep their records, so a fact entered once is the same fact everywhere it is needed afterwards.

The morning is marked once

Nobody in the office retypes the morning the instructor already marked, and the figure that decides whether a trainee may sit stops being two figures.

Friday is not for writing up

An instructor who is not copying out the week's sheets is on the floor while the section is cutting, where a mistake is still fixable.

Old batches still answer

A firm checking somebody who passed out years ago gets an answer from the record, not from a bound register and whoever remembers the batch.

A trainee knows where they stand

Attendance, sessional marks and the jobs signed off are the trainee's to see through the term, not a total met on the eligibility list.

A machine down is somebody's job

A machine out of action carries a date and a name, so the rotation moves round the bay instead of a section arriving to nothing.

The trade can show itself

Machinery, the instructor qualified for it, the seats filled and the work signed off can be shown as one answer on an unannounced day.

What we keep finding

Where the recordbreaks

A polytechnic or an ITI keeps its real record in the workshop — who turned up for the shift, what was made, what it was made from, who signed it off — and then keeps its official record somewhere else entirely. The term goes on copying the first into the second, for bodies whose forms never quite match the shop floor they are describing. Everything the institute is later judged on is assembled from the copy.

The shop floor is marked twice

The instructor takes the shift on a sheet at the bench, and the office types it again later against a different rule for the theory hour. The attendance that decides whether a trainee may sit at all then depends on which of the two sheets was reached first.

Approval, admission and examination never meet

The body that approves a trade is not the body that examines it, and neither is the directorate that filled the seats. Each wants the same trainee described in its own format on its own calendar, and the institute is the only place those descriptions were ever supposed to agree.

The material is the lesson

A practical cannot run without the sheet, the rod, the gas and the consumables it takes, and every issue of those is written in a store book that nobody teaching has read. So a section finds out what the workshop has run out of on the morning it stops.

The machine list is the affiliation

A trade is sanctioned against named machinery, a workshop of a certain size and an instructor with the right qualification, which makes the stock register part of the evidence that the trade may run at all. The store keeps one half of that and the office keeps the other, and they are put side by side only when somebody is coming to look.

How it runs

A day in the trade section, with nothing carried back to the office to be typed again.

    The section is marked at the bench

    The instructor marks the shift where the shift is happening, against the section actually standing at the machines. The theory hour, the practical and the day stop being separate sheets that have to be reconciled later by somebody who saw none of them.

    The job card carries its material

    What was issued for a job is recorded against the job and the trainee who did it, so the store, the trade and the practical are reading one line. A consumable running short is visible while there is still time to indent for it.

  3. 0313:00

    Practical marks are entered at source

    The assessor records against the job, with the date and the instructor on it, rather than writing up a stack of sheets on Friday. What the board's form asks for later is read off that, not remembered into it.

  4. 0416:00

    The attachment stays on the roll

    A trainee out on on-job training or an internship is marked and assessed on the same record while the attachment is running. Nobody has to ask a firm in the last week for an opinion of somebody it stopped seeing long before.

  5. 05Term end

    The board's format is filled, not gathered

    Eligibility, attendance and internal marks are already in one place when the window opens, so the office copies from its own record instead of collecting it back from the sections. Somebody still logs in and keys it into the portal, because that is the portal's rule and not ours.

Our examinations belong to the board. What is left for you?

Everything that feeds them, which is where the copying actually happens — attendance and eligibility, sessional and practical marks, the internal assessment a section produces week by week. The paper, the schedule and the result stay the board's, and we claim no line into anyone's portal. When the upload window opens your clerk still logs in and still keys it in; what changes is that they are copying from one record instead of collecting it back from the trades. When the format changes next cycle, and it will, what changes is the sheet and not the record underneath it.

Can one campus run its diploma wing and its trades together?

Yes, and that is much of the point. The two answer to different bodies with different calendars and different words for the same thing, so they are kept as separate programmes on one record rather than forced into a single shape. What is shared is what genuinely is shared — the workshop, the instructor's timetable, the machinery, the trainee who moves between them. Where each body insists on its own return, you still make that return in its own place.

Does this cover the workshop store, or is that separate?

It is the same record. Material issued against a job, tools signed out for a shift and the machines standing in the bay sit in one chain from the indent to the bench, so the store book and the trade's own list stop disagreeing about what the workshop holds. What it will not do is count for you: physical verification is still walked by a person with a scanner, and a shortage is still a matter for whoever has the authority to write it off. Your stock register still prints, and your auditor still gets the register they expect.

Firms ring us wanting trainees by Friday. Does that fit?

Yes, and it is not treated as a season. A requirement that arrives on the phone is recorded against the trade rather than in one officer's notebook, so the people who fit it are found from the roll instead of from whoever the instructor happens to remember — including the trainee who passed out last year. What we do not do is bring you the firm; those relationships are built in your workshops and stay in your name. What changes is that they stay with the institute when the person who built them moves on.
