The nomination list, the attendance sheet, the matrix of who is still authorised and the note that approved the spend are four separate books describing the same people. We put them on one record, so the induction a joiner owes, the session they attended, the clearance about to lapse and the laptop in their hands all belong to the same person. When somebody outside your office asks what was done and who was there, the answer is read rather than assembled.

Where the recordbreaks
Very little of what an enterprise writes down about training is new information. It is the same fact — this person works here, on this site, doing this job — copied out again into a nomination list, an attendance sheet, a competency matrix and a return somebody else will read. Each copy is true on the morning it is made and wrong shortly afterwards, because the workforce it describes does not hold still.
The nominal roll has already moved
The list is taken from HR before the session is even arranged, and by the day it runs people have joined, changed site or left. What then goes into the report is worked out against a headcount that was true once, which is why the same question asked in two offices comes back with two answers.
An authorisation lapses quietly
Who may operate the machine, sign the release or take the shift is kept in a sheet of names and dates that only speaks when somebody opens it and reads down the column. A clearance that has run out raises nothing; it waits to be noticed.
The proof is filed away from the training
The session happens in a room and its evidence scatters — a signed sheet in a drawer, the trainer's name on an invoice, the material on somebody's laptop. On the day an auditor or a customer asks who attended and who taught it, an office that ran the training well still has to go looking for the fact that it did.
The approval leaves no trail
A policy is signed off on a note that travelled by mail and acknowledged in replies nobody kept, and a committee's action is minuted, carried forward, then read out again at the following meeting. Where the note sat, and who was waiting on whom, is written down nowhere.

A joiner is already on the record
The file opened when somebody joins is the same one the induction, the site rules and the sign-off attach to, so nobody builds a starter list from a headcount sheet. A contractor's workman who is not on your payroll is recorded the same way, because they are standing on the same floor.

Attendance is marked on a device as people come in, with the trainer, the date and the material attached to the session rather than written up afterwards. The signed sheet can still be printed and signed, because that is often what an auditor wants to hold.

The note stops walking
A proposal for the year's programme, or a policy everyone must acknowledge, moves as a file that gathers notings from each person in turn. Anyone can see where it is sitting and how long it has sat, without asking around.

The committee opens on what was done
Papers reach members before the day, minutes are written against the item they belong to, and each action leaves the room with a name against it. The next meeting starts from what happened rather than from the same minute being read out again.

What was issued comes back
Clearance reads the same record as the store and the roster, so the laptop, the tools and the pass are accounted for while the person is still in the building. The letter they will ask you for years afterwards is issued from that record too, and can be checked without a call to your office.

Before you ask
Questions enterprises ask us
Will this file our POSH or labour-code returns for us?
No. Those are filed by your compliance officer, on whichever portal or office wants them, and signed by a person — and that stays true whatever we build. What changes is where the answers come from: attendance, dates, who conducted the session and who acknowledged the policy are read off a register that filled itself while the year ran, instead of being collected back from every site once the return is already due. The submission is still yours; the hunt for the evidence is the part that goes.
We already run an HR system. Does this replace it?
It does not have to. People is in this bundle if you want it, and plenty of companies do move on to it — but the honest version is that a training record only works if it learns about a joiner, a transfer and a leaver on the day it happens. Where your existing system can tell it that, keep your system; where the only route is a sheet exported when somebody remembers, you will keep the problem you already have. Tell us which one you run and we will say plainly which of those it is.
Contractors work on our site. Can their induction be recorded?
Yes. A person on the record does not have to be on your payroll, so an induction, a validity date and a pass issued to a contractor's workman sit alongside your own staff — which is usually the register somebody actually wants on the day something goes wrong. What we cannot do is reach into the contractor's own files: where a trade test or a medical exists only on paper in their office, you still have to ask for it, and somebody still has to look at it before the gate opens.
Half our training is a supervisor at the machine. Does that count?
It counts, and it is usually the training that matters most. A session run on the floor is entered as what it was — who taught it, who was there, what was demonstrated, with a photograph or a signed sheet attached if that is the evidence you have — and it sits in the same record as a course somebody worked through on a screen. We do not sell you courses, and we do not require training to be online before it can be recorded. If it happened, it should be findable; where it happened is not our business.
