Every test a student sits, kept and comparable

A coaching institute lives in the gap between one mock test and the next, and that gap only means something if the earlier papers were kept. Enquiries, batches, tests and fees write into one record, so a tutor can see how a student moved over eleven weeks instead of only what they scored on Sunday.

What changes

What coaching institutes get on day one

Nothing here is an empty module waiting to be assembled. The apps arrive wired to one another and shaped around how coaching institutes actually keep their records, so a fact entered once is the same fact everywhere it is needed afterwards.

The mark is written once

A mark is recorded once, and the rank list, the student's own history and the report read at a parents' meeting are that same entry.

The hours after a mock test

The hours that went into totalling sheets and typing rank lists come back to the faculty, and go to the doubt counter instead.

Comparing one batch to another

A season can be read back: which batches held on to their students, which faculty taught them, and when in the year people left.

A family in another town

Attendance, the last test and what is due on the fee reach a parent living elsewhere without a call back from the office.

An empty seat is noticed

A student who stops turning up is a name in front of the office, not a gap found when the register is totalled at term end.

What a registering authority asks

Who was enrolled, what they were charged, which faculty taught the batch and what the course actually included, all in one place when somebody asks.

What we keep finding

Where the recordbreaks

A coaching institute runs on two things it rarely writes down properly: what became of every enquiry, and what a mock test actually revealed about the teaching. Both usually end up in a spreadsheet nobody can ask a question of.

Enquiries go cold in a notebook

A walk-in is written down, followed up if somebody remembers, and lost if nobody does. At the end of the month no one can say what happened to any of them.

Batches change constantly

Timings shift, students move, a faculty member is unavailable — and every change is then relayed by hand, to everyone affected, by whoever happened to notice.

A mock result lands after it matters

The value of a mock decays by the hour. A result on Friday for a test on Monday is a record of what a student once got wrong, not feedback they can still use.

The one thing worth studying is thrown away

Which questions a batch missed tells a teacher precisely what to teach next week. That evidence exists for an afternoon and then goes out with the answer sheets.

A selection reaches you second-hand

The student rings a teacher, the teacher mentions it in the staff room, and by the time it goes on a banner the batch, the year and the course they actually took are being settled from memory. When a parent at the counter asks which of your batches that face sat in, somebody has to go and find out.

Who to send is decided in the corridor

A firm rings on Wednesday wanting candidates by Friday, and the list is made from whoever the faculty happen to remember as ready. The student who finished a batch three months ago, and would have qualified, is not in the room to be remembered.

How it runs

Enquiry to result, with nothing living in a spreadsheet in between.

  1. 01Step 01

    Every enquiry is captured

Walk-in, phone call or web form, all landing in one pipeline with an owner and a next action, so a follow-up does not depend on who remembers.

  2. 02Step 02

Enrolment builds the seat and the plan

Converting an enquiry creates the student record, the batch place and the instalment plan in one move, from what was already typed. Due dates then remind and receipt themselves.

  3. 03Step 03

    A schedule change tells everyone

The timetable is the record, so a shift reaches students and faculty without anybody sending messages one at a time.

  4. 04Step 04

    Results the same day

Objective sections score as the paper closes; a student sees rank and analysis while the questions are still fresh in their head.

  5. 05Step 05

    The test teaches the teacher

Because every attempt is kept, faculty can see which topics a batch actually missed and plan the next class on evidence rather than impression.

Behind that day

Start with one desk. The rest can wait.

The apps for coaching institutes come first, then the rest of the suite. Every one works on its own — begin where the record hurts most, and the others read the same records when you add them, so nothing you set up now is set up twice.

Underneath all of it

Four things that do not change, whichever bundle you take

Your own database

Provisioned per institution. Your records are never in a shared table with anyone else’s — an architectural fact, not a policy.

Your own domain

It runs at your address, under your name, crest and colours. Nothing a student or a parent sees carries ours.

Nothing to host

No server room, no patching weekends, no machine of your own humming away all night. It runs close to whoever is using it, on infrastructure shared rather than duplicated.

Your record, exportable

The record belongs to the institution, not to us. Take it out in an open format whenever you want — including the day you decide to leave.

How it starts

Nobody stops teaching while it is put in

An institution adopts one app or the whole bundle, in the order that suits its year — and the rest keeps working the moment each one is added.

First

The record is brought over

Students, staff and the current year loaded from whatever holds them now — a system, or a spreadsheet.

Then

One desk goes live

A single office starts working on it, with the old way still standing beside it.

Next

The rest follow

Each app added when its office is ready — and it reads the record the first one already filled.

After

The paper stops

The parallel register is retired only once nobody is reaching for it.

Before you ask

Questions coaching institutes ask us

Can this back up the results we put on our banners?

It can show where a claim came from — which batch the student sat in, which course they actually took, whether they paid for it, and the consent they gave after their result, kept on their record rather than in an old folder. What it does not do is verify the result itself: you still take the scorecard or the letter from the student and put it on the file. What you then choose to advertise stays your decision and your responsibility.

Our outcome is a college seat, not a job offer. Does that fit?

Yes. The outcome is recorded in whatever shape it arrives — a rank, a seat, an appointment letter, an offer from a firm — against the student and the batch that prepared them, so a year's results can be read back by batch and by faculty rather than assembled again each admission season. Where it does not stretch: we do not bring you recruiters or seats. Those relationships are yours, and they stay in your name.

Who actually chases a student for their result after they leave?

You do, and nothing here changes that. Somebody in your office still makes the call or sends the message a few months after the last class, and some students will never reply. What changes is that there is somewhere for the answer to land, and a list of who has not been asked yet, so the asking stops depending on who happens to remember a name.

A student leaves mid-course and asks for a refund. Then what?

The record already holds what was paid, when, and how far into the course they got, so the working starts from facts rather than from a hunt through receipt books. The refund is written out as a receipt with a reason and a name against it, which is what you will want when the parent comes back a month later, or when one branch is asked to account for what another did. The policy itself stays yours; we do not decide what a student is owed.
