A medical or nursing college teaches in two buildings at once. A medical or nursing college is two institutions sharing one student. The college marks a roll and the ward keeps a duty roster, and both are describing the same morning — so the fact that decides whether a student may sit their paper is written down twice by people who never meet. Everything after it, from a logbook signature to the file an assessor asks for, inherits that split.
One morning, two registers
The unit knows the group was on the round; the department office keeps the roll that counts towards the paper. The same presence is written down twice, and when the two disagree it is the student who has to prove which one was right.
The logbook is the only copy
Procedures, cases and family visits are signed at the bedside, in a book that lives in a student's bag. Nobody can see who is behind on what until an examiner asks for it, by which point the term that would have fixed it is over.
Eligibility is added up too late
Whether a student may sit a paper rests on attendance kept in a different register for every subject and every posting, and nobody totals them until the forms are due. A shortfall found in the last week is a shortfall nobody can now do anything about.
The file is built again every year
Appointments, teaching duty, leave, what the library and each department actually hold, who is resident in the hostel — all of it exists somewhere and none of it is together. So the weeks before a visit go into collecting the institution back from its own departments, and the year after, the collecting starts again.

A group arrives on the unit and is marked present where it is standing, by whoever is supervising it. That mark is the college's attendance as well, not a sheet somebody carries across to the office at noon.

Night duty is not an absence
A student on night duty is on the roster and on the warden's roll at the same time, so an empty room means something rather than nothing. Leave, the gate and the mess read the same student as the posting does.

Before you ask
Questions medical and nursing colleges ask us
Does this mark our faculty attendance on the council portal?
No, and be wary of anyone who says it does. Where a council requires attendance marked on its own app, by the person themselves, in its own way, that stays exactly as it is — we do not put ourselves between a faculty member and a regulator. What we hold is the college's own answer about its own staff: who was rostered, who taught, who was on leave, who was on duty that night, in one place instead of a department diary, a leave file and the payroll register. That is the version you are asked for when somebody wants to know what actually happened in a week.
Will this replace the logbook the examiner asks to see?
No. The book stays, it is still signed, and a student should still carry it — an examiner is entitled to ask for the thing itself and no screen substitutes for that. What changes is that an entry is recorded once, when the person supervising signs it, so the college can see mid-term which students are behind on which procedures rather than finding out in the hall. If your council prescribes a particular format, you print in that format; the record underneath does not mind.
The hospital has its own system for patients. Does this touch it?
No, and it should not. Patient records belong to the hospital and to the people in them, and we stay away from them — nothing here holds a diagnosis, a prescription or a case sheet. What we keep is the teaching side of the same building: who was posted where, who supervised, what was observed and signed off. That is the part the college is accountable for, and the part currently written on a sheet in the duty room.
Our nurses need proof of training years later, sometimes abroad
For the years that are on the record, yes — a transcript, a completion certificate or a confirmation of what somebody actually did is drawn from the record that produced it, and whoever it is shown to can check it without telephoning your office. For batches that left before you begin, no: those stay in the registers and the bound files, and we will not pretend a new system reaches back into them. Most colleges bring across the years they are asked about most often and leave the rest where they are. Registering with a council, or getting a document attested at an office, is still somebody's errand and it stays yours.
